October 2017 Release Notes Summary

Release Dates

There will be a System Release taking place on the following dates and times for the following servers. There is a potential for intermittent system downtime for each respective release:

  • EU Server – October 9, 2017 at 11:00pm to 3:30pm BST (British Summer Time).
  • S. Server POD3 for Partners & WFR Customers – October 11, 2017 at 11:30pm ET to 4:00am ET.
  • S. Server POD2 for Partners October 12, 2017 at 11:30pm ET to 4:00am ET.
  • AU Server – October 13, 2017 at 3:00am to 7:30am AEDT (Australian Eastern Daylight Time).

Browser Support

We support the following browsers and versions:

  • IE: Versions 9, 10, and 11
  • Chrome/Firefox/Safari: Current versions
  • Mobile: We have limited support for mobile platforms using the browsers listed above.

Enhancements 


TLM Enhancements

The following enhancements have been added to this release.

Clocks: Support for ATS Cogent and Suprema Fingerprint Readers

WFR-26531: Both Cogent and Suprema fingerprint readers can be used in the same environment for identity authentication. For each employee, two different fingerprints can be saved and employees can use either finger for biometric authentication. 

Employee Contracts

Multiple enhancements have been added to support Employee Contracts functionality. They are listed below.

Contracted Work Days Definition

WFR-43674: It is now possible to specify Working Days in an Employee Contract. Pay Calculation rules that use daily contracts will now refer to these specified days in calculations. To specify the Worked Days for the contract, navigate to My Employees > Employee HR Maintenance > Employee Contracts and click on the Edit icon for an employee.  The Working Days can be checked in the Employee Contracts widget. All days are checked by default and for any existing contracts. New contracts do not have the days checked by default.

Employee Contract With No Contracted Hours

WFR-7973: Within Employee Contracts, the Contract Working Time section defaults to Daily. Previously, a value other than zero had to be entered in this field in order to add additional rows with another option, such as Weekly, Per Month, Per Year, or Per Pay Period. For companies who are not using daily contracts, entering a daily value did not allow for an accurate contract working time to be entered. Users will now be allowed to enter additional rows with other working time periods while leaving the Daily field set to zero.

Employee Contract in Days per Week, Month, Year and Pay Period

WFR-43665: A new field, Days, has been added to each contract period within the Employee Contracts under My Employees > Employee HR Maintenance > Employee Contracts. This field allows users to define the number of days associated with each defined period of Contract Working Time. Validation has been added for Weekly, Per Month and Per Year to ensure that values which exceed the maximums (7 days in a week, 31 days in a month, and 366 days in a year) are invalid and will generate an error.The Days fields are optional and support 2 decimal places (for example, 2.25). Existing contracts will have a value of 0.0 in the Days fields.

Employee Contract Columns Added

WFR-44166: New Employee Contract columns for employee contract days and employee working days are available to be added to Employee Contracts report via the Select Columns link. The report is located under My Employees > Employee HR Maintenance > Employee Contracts. The following columns are available to be added:

Employee Contract Import

WFR-43661: The Employee Contracts import template, found in the Employee Setup Category under Company Settings > Imports > Overview, has been updated to support the Days per period and Working Days. These new fields, as well as the Daily Hours field, are not required.

Contract Fields Available for Expressions

WFR-43679: Within Pay Calculations 2.0 companies, those pay calculations rules where it is possible to create expression values, all the Contract settings that have been added to the system will be available for selection when creating the expression values. This includes rules that can change or set a counter value, or rules that have counter conditions.

Company Settings: Daily Contract Setting Added to Accruals Policies Widget

WFR-44162: A new Daily Contracted Hours setting has been added to the Accrual Policies widget under Company Settings > Global Setup > Company Setup. The new setting is located with the other options under the Deduct Based On Percentage Of Work Day setting. If an employee has a contract with daily hours configured, and the Daily Contracted Hours checkbox is enabled in Company Setup, the system will deduct the daily contracted hours based on the percentage of the work day.

Pay Calculations 2.0: Is Contracted Day Filter Option Added

WFR-43675: For Pay Calculations 2.0 companies, a new Is Contracted Day option has been added to the Time Worked Eligibility Filter selections when clicking the Filter option for any rule containing Time Worked Eligibility Filter selections. Using this filter will trigger the rule if an employee has worked a contracted day. The rule will use the Working Days selection(s) in the Employee Contract widget under My Employees > Employee HR Maintenance > Employee Contracts.

Pay Calculations 2.0: New Allocate Contract Hours Rule Added

WFR-43671: For Pay Calculations 2.0 companies, a new Allocate Contract Hours pay calculations rule has been added under the Counters category in Company Settings > Profiles/Policies > Pay Calculations. The rule calculates the difference between worked time and contract daily hours and allows those hours to be placed under a specific counter.

Pay Calculations 2.0: Weekly Overtime Rule - Contract Hours for Weekly Overtime Added

WFR-43822 & WFR-46896: For Pay Calculations 2.0 companies, a new Contract Weekly Hours setting has been added to the Assign Time Over section of the Weekly Overtime Pay Calculations rule. When selected, the rule will consider hours from employee contracts in the calculations.

A new Prorate Method For Partial Contracted Period option has been added to the rule. This setting will determine how contract hours will be prorated if they start or end mid-period. Prorating based on this option is dependent on the use of the number of days and selection of workdays within the contract. The calculation will be: (Period Hours / Period Days) x Workdays in Period. A tool-tip is available to remind you how this option works. If not using proration, the system will use the Minimum or Maximum setting in the Use drop-down of the rule.

Pay Calculations 2.0: Daily OT with Period Dependencies Rule – New Contracted Hours Settings

WFR-43678 & WFR-46682: For Pay Calculations 2.0 companies, new settings have been added to the Daily OT With Period Dependencies Pay Calculation rule to support contracted hours. In the Conditions section, a new Prorate Method For Partial Contracted Period option has been added. This setting will determine how contract hours will be prorated if they start or end mid-period. Prorating based on this option is dependent on the use of the number of days and selection of workdays within the contract. The calculation will be: (Period Hours / Period Days) x Workdays in Period. A tool-tip is available to remind you how this option works.

Pay Calculations 2.0: Set Start And End Time For Bulk Time Offs Rule – Daily Contracted Hours Added

WFR-43683: For Pay Calculations 2.0 companies, a new Daily Contracted Hours setting has been added in the Max Shift Total section of the Set Start And End Time For Bulk Time Offs Pay Calculation rule to support contracted hours. This setting will define daily contracted hours as a maximum shift total, so that the rule will not exceed daily contracted hours, if present on the day being calculated. This section allows for maximum or minimum start times to be selected when variable start times are present in a schedule. Options selected here will have start/stop times added when the bulk time off entries are added to timesheets. 

Pay Calculations 2.0: Calculate Time Off Dynamic Duration Rule

WFR-43682: For Pay Calculations 2.0 companies, new Daily Contracted Hours settings have been added to the Calculate Time Off Dynamic Duration Pay Calculations rule. The setting has been added to the Full Day, First Half, Second Half, Half Day, and Fill Day sections.

Pay Calculations 2.0: Projected Hours Rule – New Version to Include Contracted Hours

WFR-43681: For Pay Calculations 2.0 companies, a new version of the Projected Hours rule has been added under Company Settings > Profiles/Policies > Pay Calculations, in the Misc. category. This rule will project bulk hours onto timesheets, based on the settings in the rule. The new Project Hours (v.2) rule will now contain a new Daily Contracted Hours setting in the Project section of the rule. When checked, any daily contracted hours will be projected, in bulk, to the timesheets.

Imports: % of Workday for Contracted Hours Added to Company Settings Import

WFR-44162: Two new columns pertaining to accrual percentages for workday contracted hours have been added to the Company Settings import template as accessed under Company Settings > Imports > Overview. The columns have been added to the Accruals Policies section of the template and instructions for the new columns are available on the Instruction tab of the template.

Leave of Absence: Total Days Off Options Added to Pay Prep and Profiles

WFR-14166: New Total Days Off options have been added to the Pay Prep process and Leave of Absence Profiles, and when used together, will calculate and then export the total days off from a leave case during payroll processing. See detailed release notes for more information.

My Dashboard: View Timesheets Button Added to Exceptions Widget

WFR-41921: A new View Timesheets button has been added to the Exceptions widget that is available for the My Dashboard view. You can select one or more records and/or employees and then click the button to view and cycle through the timesheets. When selecting multiple exception records for the same employee for the same day or time period, the records will consolidate onto one timesheet view. The exceptions can be viewed, and edited within the Exceptions tab of the timesheet.

My Employees: Removal of Projected Hours for Terminated Employees

WFR-22138: When a terminated employee has projected hours generated by the Projected Hours (v.2) pay rule, which is used to project bulk hours onto timesheets, the system will automatically remove any projected hours that extend past the termination date. When terminating an employee under My Employees > Employee Maintenance > Terminate, if an employee has projected hours, the system will flag those entries and present the user with the option to delete or ignore the time entries. This screen also contains a View hyperlink so the user can view the time entries in question.

Pay Calculations 2.0

Multiple pay rules have been enhanced with new settings and are listed below.

Pay Calculations 2.0: New Setting Added to Accrual Grant Rule

WFR-43672: For Pay Calculations 2.0 companies, a new Only Calculate Up To Today setting has been added to the Accrual Grant rule under Company Settings > Profiles/Policies > Pay Calculations. When selected, this setting will calculate prior accrued time for all counters, up to current day.

Pay Calculations 2.0: New Is Scheduled Day Off Option Added to Day Type

WFR-43663: A new Is Scheduled Day Off setting has been added to Day Type definitions under Company Settings > Time & Labor Setup > TLM List Definitions. Day Types are applied to Daily Rules and other areas in the system. When the new setting is checked in a Day Type definition, and then applied to one of these other areas in the system where schedules are created or listed, that Day Type will default to being a scheduled day off. This option will only be available is the Work On Holiday setting is also checked in the Work Schedules Policies widget under Company Settings > Global Setup > Company Setup

Pay Calculations 2.0: New Expression Value Added for Set Counter v.2 Rule

WFR-45887:  For Pay Calculations 2.0 companies, a new expression value of EntryDate () has been added to the Date Function section of the list of Available Expressions when setting a value based on expression. This function will look at the actual date of a record.

Points: New Settings Added to Include Time Off from Pay Calc Rules

WFR-49869: A new Include Time Offs Created By Pay Calculation Rules setting has been added to the Late/Early Start (v.2) and Late/Early Leave (v.2) rules for Points profiles. These profiles are located under Company Settings > Profiles/Policies > Points and rules can be added to the profiles. When excusing time off in the rules, the new setting, when checked, will also consider any time offs created by pay calculation rules when excluding time offs.

Reports & Workflows: Approve/Reject Options Added

Approve and Reject buttons, along with approval and rejection functionality have been added to several reports and areas of the product to help managers efficiently review and then approve or reject timesheets without having to navigate away from the menus. These enhancements are listed below.

Dashboard Widgets: Timesheets Awaiting My Approval Widget Available for Workflow Process

WFR-43317: The Timesheets Awaiting My Approval widget, for user dashboards, will now support To Do Items to approve/reject timesheets directly from within the widget. Previously, this widget only allowed the approve/reject options for non-workflow processes. Now, when a Timesheet workflow is in use for the approval/rejection process of timesheets, and a To Do Item has been generated, managers can access the item(s) directly from this widget, view the timesheets, and then apply their approval or rejection.

Manage Payroll: Approve/Reject Added to Unapproved Report

WFR-43316: When running the Time Prep Process under Manage Payroll > Manage Payrolls > Process Timesheets, the Unapproved report will now contain Approve and Reject buttons which will allow for the approval or rejection of timesheets directly within the report. The report is accessed after running the time prep process and then clicking the Review Timesheet Status link in the Time Prep screen.

Manage Time: Approve/Reject Added to Reports

WFR-43313, WFR-43314, WFR-47388, WFR-36887, WFR-43312: New Approve and Reject buttons have been added to timesheet reports under Manage Time > Manage Timesheets that will allow users to approve or reject timesheets. These options will only be available for timesheets that are processed via enabled timesheet workflows.

Workflows: New Option Added to Timesheet Approve/Reject Steps

WFR-46220 & WFR-46221: A new option has been added to the Approve/Reject Timesheet step within a Timesheet workflow under Company Settings > Global Setup > Workflows. The If recipient is missing set timesheet status to option has been added and contains a drop-down with options for Approved and Rejected. This new setting will automatically approve or reject an employee’s timesheet if the intended approver of the To Do Item is missing from an employee’s assigned managers, but the workflow is being routed to an outside manager. The system will approve or reject the timesheet and route the workflow to the next step. When not using this option, the behavior of the workflow will be the same as it has in the past.

Workflows: New Approval Levels Added to Timesheet Approve/Reject Steps

WFR-45367: New approval levels have been added under the To Be Completed By drop-down list for the Approve/Reject Timesheet step within a Timesheet workflow under Company Settings > Global Setup > Workflows. Approve Level 1-5 and Approve Level 2-5 Override options have been added. These selections can be used to send the approve/reject step to all users/managers, or group of managers who are at a certain approval level.

Reports: Subtotal Option Added to Calculated Time Summary Report

WFR-42800: A new Show Subtotals Only checkbox has been added to the Calculated Time Summary report under My Reports > Time & Labor > Calculated Time > Calculated Time Summary. When a report column has been grouped (by clicking the G in that column heading), the Show Subtotals Only checkbox can then be checked to subtotal the hours shown in multiple rows.

Reports: New Annualised Projected Hours Report Added

WFR-43667: For Pay Calculations 2.0 companies, a new Annualised Projected Hours report has been added under My Reports > Time & Labor > Calculated Time. This report will display how many hours employees have worked toward their annualised target, which will assist managers in planning workloads for employees working too little or too much.

Timesheets: Automation of Historical Timesheet Correction Process

WFR-37275 & WFR-46946: Historical timesheet corrections can now be viewed in the current timesheet and processed from the current payroll processing steps.
NOTE: This is a detailed, multi-step process and the detailed TLM release notes should be reviewed.


HR Enhancements

The following enhancements have been added to this release.

NEW! Position Management Functionality Now Available

Position Management is an alternative to a job-based structure. You can create a specific occurrence of a position, which then enables your organization to track the number of openings within that position, monitor headcount and manage budgets. Employees can be assigned multiple positions with different rates for each position.

A new Position Management User Guide has been created which covers how to enable, configure and use the functionality. The guide will be located under your normal document download paths under the HR User Guides section. 

Benefits and Benefit Plans

Multiple enhancements have been made to Benefits and Benefit Plans and are listed below.

Benefits: Multiple Life Change Event Enrollments of Different Types 

WFR-33475: Employees can submit multiple Life Change Events of different types at one time. Once a particular Life Change Event Type has been submitted, it no longer appears as an option in the drop-down until the initial request is approved and past the effective date.
An employee can start a Life Change Event of any type at any point if there is not one currently pending approval or one that is not yet effective. If there is an event pending approval, or one approved but still on the employee’s record because the effective date of the event is in the future, the employee can enroll in another type of Life Change Event at the same time.

Benefit Plans: Ability to use Months in Age-Based Plans

WFR-33181: Users can now enter months, as well as years, in the Age fields of the Pricing settings of Benefit Plans with a Coverage Type that is age based, such as Age Of Dependents. For example, to be recognized appropriately, an age of 6 months old should be entered as 0y 6m. For an age of 2 ½ years old, the entry should be 2y 6m.

Benefit Plans: Evidence Of Insurability Tiers

WFR-44363: The Evidence of Insurability (EOI) Tiers functionality has been enhanced with the following features.

1. A Units May Be Overwritten By option can now be enabled within the Evidence Of Insurability section in Benefit Plans under Company Settings > Profiles/Policies > Benefits > Plans. This allows the selected user(s) to increase the Units amount in the employee Benefit Plan up to the Unit Maximum, disregarding the guaranteed Units amount and lack of an uploaded Evidence Of Insurability.

2. An additional Custom Date option is now available within the Use Date section of the EOI Tiers. This allows users to set any date to calculate the Number Of Years used to define the EOI Tier.

3. The allowed Units amount for the appropriate EOI Tiers will now be considered when importing Units using the employee Benefit Plans import template under Company Settings > Imports > HR > Employee Benefit Plans.

4. Units are now validated in accordance with the set Coverage Effective Dates and corresponding EOI Tier when Save is selected from the Employee Benefit Plan screen under My Employees > Employee HR Maintenance > Benefits > Benefit Plans.

5. The EOI Tiers table is now copied when creating a new Benefit Plan by choosing Clone Benefit Plan under Company Settings > Profiles/Policies > Benefits > Plans.

6. The Increase % option has been updated so that now:

a. Each Benefit Plan has its own Guaranteed Units amount which is calculated from the previous Benefit Plan or/and EOI Tier. Previously, the last calculated Guaranteed Units amount applied to all related Benefit Plans.

b. If the Guaranteed Units amount is less than the Unit Minimum or more than the Unit Maximum, then the Unit Minimum/Unit Maximum amount is displayed in messages instead of the Guaranteed Units amount

c. If employee's last chosen Units exceed the Guaranteed Units, the Guaranteed Units are used as the Units base to calculate the Increase %.

d. The Increase % option can now be set to a value up to 100%.

7. Empty Guaranteed Units and Increase % amounts display as blank instead of 0. All companies with 0 in the tables will be updated to remove all zeroes from the tables. A *Note has been added just below the EOI Tiers table with the following verbiage:

a. The initial values are taken from the Use Units widget on the Benefit Plan.

b. Please either enter a value into Guaranteed Units or Increase %. Values cannot be entered into both fields within the same tier.

8. Years Of Service has been added as an option for the Use Date

9. The Years of Service is a calculated value that can be viewed in the Dates widget of an employee’s profile under My Employees > Employee Information.

Benefit Plans: Website Redirect for Evidence Of Insurability

WFR-4900: A new option, Redirect to EOI Provider, has been added to the Units configuration within Benefit Plans under Company Settings > Profiles/Policies > Benefits > Plans, in the Evidence Of Insurability section.
Once this option is selected, a link to the EOI Provider website should be specified in the EOI Provider URL field. During Open Enrollment, the employees will follow the link and then confirm that the EOI has been submitted to the Provider.

The managers will approve the employee requests with the guaranteed amount. In the approved Benefit Plan, the manager will upload the EOI confirmation document received from the Provider, and the Coverage Amount will be updated to the requested amount.
If Redirect to EOI Provider is enabled, the Hide document upload button during open enrollment, new hire enrollment and in life event will be disabled/read-only. Additionally, the Need To Be Reviewed By checkbox will be disabled/read-only.

Benefit Plans: Annual Cap on Premiums for Coverage Amounts

WFR-15408: A new option to apply an Annual Cap to Employee and/or Employer premium amounts for Benefit Plans is now available under Company Settings > Profiles/Policies > Benefits > Plans, within the Premium Settings for the Pricing of the Coverage Levels. When applied, the Annual Cap option calculates an annual maximum for the associated deduction, ensuring that annual premiums paid will not exceed the annual maximum or specified Coverage Amount, where applicable.
The Annual Cap calculation takes the monthly Employee and Employer premium amounts for the Benefit Plan multiplied by twelve. The results will populate the Annual Max $ and Annual Max ER $ fields in the Scheduled Deduction under My Employees > Employee Payroll Maintenance > Deductions.

Benefit Plans: Deduction Codes Linked to Benefit Plans

WFR-31412: A few items exist that can cause an employee to have a failure in their benefit enrollment process. The most prevalent issue, which could not be discovered until after all the employee’s enrollment tasks were complete, was when their enrollment allowed for duplicate deduction codes to occur at the same time when the same deduction was specified within more than one Benefit Plan. The following items have been established to highlight this issue and allow an immediate fix while still possible.

The system will now display a warning when a Benefit Plan is added to a Benefit Profile under Company Settings > Profiles/Policies > Benefits > Profiles when any other Benefit Plans already exist in that profile with the same Deduction Code for the same Date Range. This does not apply to Benefit Plans with blank Deduction Codes, but if a Benefit Plan is updated from blank to a specific Deduction Code, the system check will occur at that point.

When employees are processing their Benefit Enrollments under My Account > My Benefits > Review/Select Benefits, an error will prevent them from electing two Benefit Plans with the same Deduction Code. The error prevents them from moving past the current page, and the Submit button does not display.

A new Tool Tip in the Deduction/Earning section(s) of Benefit Plans under Company Settings > Profiles/Policies > Benefits > Plans explains that duplicate Deduction Codes will prevent a Benefit Plan from being approved.

Benefit Profiles: Spouses, Children, and Beneficiaries in Passive Enrollment

WFR-1403: When the Auto Select Current Employee Plans option is enabled in the Passive Enrollment Options of a Benefit Profile under Company Settings > Profiles/Policies > Benefits > Profiles, information about Spouses, Children, Beneficiaries, and Contingent Beneficiaries, along with their Settings and Custom Fields, will now be copied from an employee’s previous benefit enrollment into a new/current enrollment period. Users can make updates such as adding a new child during the new/current enrollment.

Compensation Management

Multiple enhancements have been made to Compensation Management and are listed below.

Compensation Management: Compensation Cycle Filter in Proposals Report

WFR-44469: The Proposals report under My Employees > Compensation Management > Proposals now includes a new Compensation Cycle Filter that allows users to select a specific Compensation Cycle to filter by. This filter allows managers to control which cycle they want to see in many ways, which helps facilitate a quicker search. The filter is set to All by default.

Compensation Management: Mass Approve Worksheet from Proposals Report

WFR-44468: A new option, Mass Approve, is now available within the Proposals report under My Employees > Compensation Management > Proposals. This option allows users to select multiple Proposals/Worksheets across Compensation Cycles to approve at one time.

Compensation Management: Proposal Report

WFR-44470: On the Proposals report under My Employees > Compensation Management > Proposals, when selecting the View Compensation Worksheet icon for an employee, the worksheet will now open and by default display data only for the employee who the View Compensation Worksheet icon was selected for.

Compensation Management: Send Score Step in Performance Review Workflows

WFR-45107: A new step, Send Score, is now available within the Performance Review Workflows under Company Settings > Global Setup > Workflow. This step sends a Final Rating to the Compensation Management module for use in calculations. It is an automatic function with an action of On Done.

Unfinalized Review Rating into Compensation Module (Compensation Management)

WFR-36492: Within the Compensation Module, the un-finalized Performance Review Ratings are now pulled in for use in completing Compensation Cycles. This functionality assists customers when their Compensation Cycle and Performance Review Cycle are run at the same time, therefore the employee’s Performance Review Rating has not yet been finalized, but the review Rating is necessary to complete the Compensation Cycle.

As described above, the new Workflow step, Send Score, is now available within the Performance Review Workflows. This step sends a Final Rating to the Compensation Management module for use in calculations, including an un-finalized Rating for a Performance Review that is not yet complete.

Form Questionnaires: Multi Checkbox and Multi Radio Button

WFR-7892: Two new question types, Multi Checkbox and Multi Radio Button, are now available within Form Questionnaires under Company Settings > HR Setup > Form QuestionnairesMulti Checkbox will display the answer selections individually with checkboxes, and Multi Radio Button will display the answer selections individually with radio buttons.

HR Actions: Add a Rate to Rate Table

WFR-20328: Personal Rate Table is now available for inclusion as item within an HR Action under Company Settings > HR Setup > HR Actions, then Add Action Item. With this, users can now submit an HR Action that will allow a new rate to be added to an employee's Personal Rate Table.
Additionally, a Global Rate Table can also be updated via a My Employee Action Request with the Global Rate Table HR Action Sub Type. When selected, the HR Action will automatically include the Global Rate Table item and will not include a specific employee since it impacts a global table.

Performance Management

Multiple enhancements have been made to the Performance Management product and are listed below.

NEW! Succession Planning Added to Performance Management

Succession Planning has been added to Performance Management and will allow companies to identify employees who are leaving critical positions within a company, perhaps due to promotions, retirement, or resignations. Using a combination of Succession Profiles, Succession Plans, Succession Plan reporting and a Talent Matrix dashboard widget, users can manage employees as they progress toward a possible new role to succeed upcoming vacancies.

The Performance Management User Guide has been updated with a new Succession Planning section, which explains how to configure and use this new functionality.

Performance Development: Shared Goals

WFR-43526: A new Goal type of Shared has been added to the Employee lookup within the Assign Company Goal or Assign Personal Goal under My Employees > Employee HR Maintenance > Performance Development. This selection allows users to assign a goal to multiple employees who share the responsibility of completing the goal.

For Shared Goals, Goal Self Only Notes (Personal Notes) are visible only to the employee(s) who added the note(s). Goal Shared Notes are visible to all employees assigned to the Shared Goal.

A new widget, Share Goal With, has been added to the Performance Goal screen, and it includes data about the employees who the goal is assigned to. In addition, the new widget includes an option to Add/Remove Employee To The Goal, so users can add other employees or remove employees already assigned the goal.

Performance Development: Shared Goals in PDF

WFR-46540: Where applicable, Shared Goals are now included in the Performance Review PDF under My Employees > Employee HR Maintenance > Performance Reviews, then View/Edit Performance Review > Utilities > Download PDF.

Performance Development: Shared Goals in Performance Review Profiles

WFR-46539: Shared Goals can now be enabled for use within Performance Review Profiles under Company Settings > HR Setup > Performance Review > Review Profiles, in the Enabled section of the Functionality widget.

Users can further configure the appropriate settings for the Shared Goals within the Performance Review Profile such as allowing Ratings and/or Comments as well as defining the Weight for Shared Goals.

Shared Goals can be used in the same way as the Personal and Company Goals, and will display in all areas as the other Goals are, such as the Summary tab, Entry tab, etc.

Performance Development: Mark Notes in Goals as Read

WFR-41056: Users can now mark Goal Shared Notes as read using the new Mark As Read button available under Company Settings > HR Setup > Performance Development. Columns for Has Been Read and Note Read By have been added for Goal Shared Notes.
Only users other than the user who created the note with the Share Goal assigned to them can mark the note as read.

Performance Development: Goal Audit

WFR-44681: A new Goal Audit widget has been added to the Performance Development Goals screen under My Employees > Employee HR Maintenance > Performance Development. This new widget provides details, such as the field that was updated and who it was modified by, about any changes made to Goals, including Goal Assignments, Performance Goals, and Shared Goals. The Goal Audit data will also display on the My Goals page under My Account > My Goals in Employee Self Service.

Performance Development: Development Goals in Performance Reviews

WFR-43525: A new checkbox, Add To Performance Review, is now available within Goals under Company Settings > HR Setup > Performance Review > Goals or within the Assign Personal Goal option under My Employees > Employee HR Maintenance > Performance Development. Goals with this new checkbox selected can be added to Performance Review Profiles under Company Settings > HR Setup > Performance Review > Review Profiles using the Add Company Goal option.

Goals with the checkbox enabled can be added from the Performance Reviews under My Employees > Employee HR Maintenance > Performance Reviews.

Goals are created automatically when a Performance Review is initiated, and when the review is finalized, the Goals will also be finalized. If a review is finalized, users are not able to unfinalized a goal tied to the review. If a Performance Review is unfinalized, then all Goals will also be unfinalized.

The total Weight of all Goals cannot exceed 100%, and no additional Goals can be added if the resulting total Weight would be greater than 100%.

Performance Reviews: Allow Managers to Select Final Grade

WFR-7891: A new option, Responsible for Final Grade and Effects, in the Review step or Finalize step of a Performance Review Workflow under Company Settings > Global Setup > Workflows now allows users to designate either the Finalizer or one of the review Managers as the single user with the authority to also control the Final Grade for the review. Where typically the Finalizer could do this, when the new option is enabled, it allows the designated Manager to do so.

Users can identify the person who has the authority to give the final grading in one Review or Finalize step of the Workflow. If the Review step is assigned to an employee, this option is not available. All review effects such as Bonus, Manager, Job, Raise, etc., if enabled, are also controlled by the user with the authority to give the Final Grade, unless it is calculated. If it is calculated, the system will continue to do the calculation.

Performance Reviews: Goals from Performance Review to Performance Development

WFR-44800: Goals from Performance Reviews under My Employees > Employee HR Maintenance > Performance Reviews are now automatically assigned to employees under My Employees > Employee HR Maintenance > Performance Development when the Performance Review is initiated. If a Rating is not available for a Goal in a Performance Review, it will be left blank for the Goal in Performance Development. If a Performance Development Goal is assigned to an employee only from the Performance Review, if the Performance Review is subsequently deleted, then the Goal will also be deleted.
If a Performance Development Goal is linked to a finalized Performance Review, the Goal cannot be unfinalized. If a Performance Review is unfinalized, then all tied Goals should also be unfinalized. All Goals linked to Performance Reviews will be finalized when the review is finalized.

Performance Reviews: Maximum Active Performance Reviews

WFR-47133: Moving forward, only one active Performance Review can exist for an employee, in addition to any reviews in a Skipped or Finalized status. If there is no active Performance Review for a user, and the Performance Review Profile includes Sub-Profiles, then the creation of more than one review is allowed (1 per Profile/Sub-Profile). The system will display an Error if a user attempts to add another Performance Review for an employee with an existing active review.

Performance Reviews: Reviewer Comments Step in Performance Review Workflows

WFR-45108: A new step, Reviewer Comments, is now available within the Performance Review Workflows under Company Settings > Global Setup > Workflow. This new step allows Comments to be added after the Rating is complete, which allows managers to add Ratings first, and then later return to enter Comments on a Performance Review.

The Reviewer Comments step does not have a Rating Required option, but does have both Entry Comments Required and General Comments Required options. It also includes a Commented action, which functions like the Reviewed, Rejected and Expired actions.

Performance Review Profile: Add Goals to the Next Performance Review

WFR-43527: A new Workflow step, Create Goals, can now be added and configured after the Finalize step in Performance Review Request Workflows under Company Settings > Global Setup > Workflows. This step allows managers to create Goals to be added to next year’s Performance Reviews for employees. Managers can create Company or Personal Goals via the Create Goals To Do item.

Managers should complete the preceding steps in the workflow for an employee’s current Performance Review, such as Create, Review, Approve, etc. and/or Finalize. The last step to Create Goals can then be completed from their My To Do items.

Within the Create Goals, managers can then select the appropriate Goals to be applied to the employee’s Performance Review for the next year.

The selected Goals will be assigned to the employee under My Employees > Employee HR Maintenance > Performance Development, and can be added to the appropriate Performance Review using the Add Goal From Performance Development option within the review

Recruitment Module

Multiple enhancements have been made to the Recruitment Module Marketplace product and are listed below.

Recruitment: Action on Applicant(s) when Resume Search is Complete

WFR-33939: Users can now perform actions such as sending one or more applicants to a hiring manager or editing one or more applicants when the search results are displayed upon completing the Resume Search function under Recruitment > Applicants.

Recruitment: Job Requisition Location Countries

WFR-45647: All countries are now available for use in Cost Center addresses under Company Settings > Global Setup > Cost Centers. The specified country for the selected Cost Center within Cost Centers (Location Definition) will then display as the Job Location for the Job Requisition under Recruitment > Job Requisitions > View Job Requisition.

Recruitment: Reapply Waiting Period

WFR-45199: Applicants are now able to reapply for the same job requisitions based upon the Reapply Waiting Period days configured within the new Applicant Knockout Configuration section of the Recruitment Configuration page under Recruitment > Configuration > Configuration.

Recruitment: Re-Eligibility Criteria for Knocked Out Application

WFR-45198: When an applicant is Knocked Out because of providing a Knockout Answer to a Knockout question on a questionnaire, the number of days after which he can re-apply for the same job can now be configured within Recruitment > Configuration > Configuration within the Applicant Knockout Configuration section. The system default for the Reapply Waiting Period is 30 days, which can be updated to fit the company’s requirement.

A default Knockout Message has also been added to the system under Recruitment > Configuration > Configuration, and it will display to an Applicant if the Applicant attempts to reapply for same job before the re-eligibility criteria is met.

A custom Knockout Message is available on Form Questionnaires under Company Settings > HR Setup > Form Questionnaires if a Knockout question has been configured for that questionnaire. By default, the Form Questionnaire Knockout Message box appears as blank, but can be updated to the appropriate custom message.

A custom Knockout Message in a questionnaire will take priority over the default Knockout Message in the Recruitment Configuration. If the custom message box in the questionnaire is blank, the default message will display.

Recruitment: Applicant Questionnaire Status and Answer Type

WFR-45194: Managers are now able to view if an Application submitted by an Applicant resulted in a Knockout, Marginal, or Default status/type using the Applicant Questionnaire Status column under Recruitment > Applicants > View Applicant or Recruitment > Job Applications. The values in the Applicant Questionnaire Status column reflect the data from the Answer Type column in the Applicant Questionnaires under Recruitment > Applicant Questionnaires.

Recruitment: Hiring Message for Knockout Applicants

WFR-45196: A default message, This application contains Knockout answers to job related questions. Please verify before proceeding., now displays when a manager attempts to hire a Knockout Applicant under Recruitment > Applicants > View Applicant > Hire This Applicant.

Recruitment: Notification for Knockout or Marginal Applications

WFR-45201: A new condition has been added to the Applicant Applied For Job notification under Company Settings > Global Setup > Notifications. When enabled, the notification will not be sent to Applicants when the status is Knocked Out.

Recruitment: Knockout or Marginal Questions

WFR-45189: Users can now identify question answers within an Applicant Questionnaire as Knockout or Marginal for purposes of tracking applications that are eliminated from consideration for a job requisition (Knockout) or from a Marginal candidate based upon the answers they provided on the questionnaire. Within the Form Questionnaires under Company Settings > HR Setup > Form Questionnaires, the answers for Multi Checkbox or Multi Radio Button type questions with the Is Knockout setting enabled can be marked as Knockout or Marginal.

A custom message can be configured in the Knockout Message section that will display to the Applicant if they select a Knockout answer to a question on the questionnaire.

If no message is configured here, the default Knockout Message from under Recruitment > Configuration > Configuration, in the Applicant Knockout Configuration section, will display to the Applicant. A custom Knockout Message in a questionnaire will take priority over the default Knockout Message.

 Security: Security Profile Allows Employees to View/Edit Education Data

WFR-1473: The Training/Certifications security item in the Employee section on the ESS tab of the Security Profiles under Company Settings > Profiles/Policies > Security now has an option for View/Edit permissions. This will allow users to View and/or Edit their own Training/Certifications.

NOTE: Settings to allow users to Add and Delete the Training/Certifications are also available, but will currently only allow users to add new history to existing Training/Certifications added by a Manager or SA. These options will be enhanced for use with additional functionality scheduled to be added in a future release.

 

 

Payroll Enhancements

The following enhancements have been added to this release.

ACH Exports: Formatting Change

WFR-18805: Dashes are now included in Direct Deposit Account numbers in ACH export files.

ADP Periodic, Quarterly and Monthly Exports

Multiple enhancements to ADP export files have been included in the release. They are listed below.

ADP: Enterprise Resource Planning Information

WFR-40620: Four new fields have been added to the Periodic, Monthly, and Quarterly ADP Files to help identify if companies are using the most current interface version for their Enterprise Resource Planning (ERP) (for Transporter Clients) and software. The new fields are:

ADP: Periodic and Quarterly Tax File Updates

WFR-46454: Payroll Frequency and Employee Counts for each payroll will now be included in the ADP Periodic and Quarterly Tax Files to satisfy a legislative update mandated by West Virginia. The employee's Pay Period Profile will be used to determine the number of payrolls per year, and this will be converted into one of the frequencies outlined by ADP. The following information will now be included in position 227 of the D record:

1 - Weekly Frequency

2 - Bi-Weekly

3 - Semi-Monthly

4 - Monthly/Quarterly

Position 227 of the D record will be left blank if the frequency does not match one from the list.

Positions 216-220 of the D record will include the total number of female employees with wages reported each payroll. Positions 221-225 of the D record will include the total number of male employees with wages reported each payroll.

ADP: Qualified Small Employer Health Reimbursement Arrangements

WFR-46563: The ADP quarterly tax export now includes the new code and value for the Box 12, code FF on the Federal W2 form. This box is used to report the YTD amount of Qualified Small Employer Health Reimbursement Arrangements (QSEHRA) benefits that are paid/reimbursed by the employer to an employee. When running the ADP quarterly tax export, there will be a “6” on the B record in position 7 to represent Box 12, code FF. The value of Box 12 code FF is in positions 18-33 on the B record.

ADP: City of Philadelphia Quarter-To-Date Requirements

WFR-39321: The ADP quarterly tax export now includes a new quarter-to-date field. ADP will use the data to accommodate the City of Philadelphia’s requirements to report a breakdown of wages for 2017. The field appears in columns 658-671 of the quarterly tax update.

Autopay Schedules

A number of enhancements have been added for Autopay Schedules. They are listed below.

Autopay Schedules: Autopay Schedule is Required

WFR-36817: Autopay Schedules can be now be made required by enabling the new Autopay Schedule Is Required option under Company Settings > Global Setup > Company Setup, on the Global Policies tab, in the Account Policies widget. When enabled, an Autopay Schedule must be assigned to all employees and cannot be left blank.

Autopay Schedules: Default Autopay Schedule at Company Level

WFR-36883: Default Autopay schedules can be specified under Company Settings > Global Setup > Company Setup, on the Defaults tab, in the Other Defaults widget. When enabled, an Autopay Schedule is assigned by default to all employees.

NOTE: When a default Autopay Schedule is selected, it will be the assigned to both exempt and non-exempt employees, whether they have an Autopay Earning Type or not. If the employee does not have an Autopay Earning Type, but does have an Autopay Schedule, the Autopay Schedule will be ignored. Similarly, the default assignment of Autopay schedules to employees enables prorated earnings or retro pay functionality for all employees. If either of these are not desired for an employee, the autopay schedule must be removed from that employee in order to prevent any automated calculations.

Autopay Schedules: Total Hours

WFR-36808: A Total Hours field has been added within Autopay Schedules under Company Settings > Payroll Setup > Autopay Schedules. This field allows users to view the total number of hours entered in the schedule.

Autopay Schedules: Autopay Schedule Calculation Settings

WFR-44465: Users can now specify when the system should apply Prorated Earnings and/or System Generated Retro Earnings calculations with the new Autopay Schedule Calculation settings under Company Settings > Global Setup > Company Setup, on the Payroll tab. The calculations can be applied to new and/or terminated employees, as well as to Base Compensation increases. For additional details, please see the October 2017 Payroll Release Notes.

Configuration Checklists: Autopay Schedules as a Configuration Checklist Item

WFR-38969: Autopay Schedules can be added as an item to Configuration Checklists from the Client Configuration Checklists widget for a client company from within an Admin company under Maintenance > Companies > All System Companies, then Company Information for the appropriate company. Using the View Checklist option for the Configuration Checklist that the Autopay Schedules item should be added to, users can then choose Edit This Checklist, then Add Check List Item to add the Payroll Setup: Autopay Schedules item to the checklist.

EIN Names

Company EIN Name Field Setting

WFR-39842: The EIN Legal Name field has been added to the Company Address widget on the Company Information tab under Company Settings > Global Setup > Company Setup. For all single EIN companies, the Company Name value has been programmatically populated into the EIN Legal Name field. If you wish to use another name, edit the EIN Legal Name field manually.

EIN Name in Invoices for Multi-EIN Companies

WFR-21345: In Multi-EIN companies, the Bill To: field is now populated with the legal name of the EIN that is being billed. Previously, the field was populated with the primary EIN’s name. Invoices can be previewed or downloaded as PDFs from Company Settings > System > Invoices. The Bill To: field appears above the items in the invoice.

Forms: W2 Form Updates for 2017

WFR-29386: Updates to W2 forms for 2017 have been added. W2 forms can be viewed for individual employees under My Employees > Forms > W2s. Clicking on the Edit icon enables you to preview the form. Box 12 Code FF has been added for QSEHRA reporting. A Summary report has been updated under My Reports > Payroll > W2s (Summary). In both reports, Box 12 FF amount columns can be added using the Select Columns feature.

Forms: IRS Form 8027

WFR-33815: Form 8027 can now be created as a PDF under My Employees > Forms > IRS Form 8027. From My Employees > Forms > IRS Form 8027, click the New button to create a new 8027 form. The option to filter the employee data included in the form is available in the pop-up.  For additional details, please see the October 2017 Payroll Release Notes.

MasterTax Enhancements

Updates to MasterTax files are listed below.

MasterTax: V20 Updates

WFR-40629: The MasterTax Payroll Tax Import Specification has been updated. MasterTax PTS files are now generated according to the the MasterTax Payroll Tax Import Specifications, Version 20. Several new fields have been added: the New Jersey Unemployment Syn Code in the Company Tax record and the Bank Setup and the NAICS Code fields in the Payroll Header record.

MasterTax: 600 Record in RTS File

WFR-42860: A 600 record is now generated within the MasterTax RTS file when the employee has a W2 and SUTA or SUI wages. The MasterTax RTS file will include a 600 record if a 601, 611, 612, 614, or 616 record exists.

Pay Statements: Show Allocations Settings

WFR-6241: A new Show Allocations section is now available within the Printed Pay Statement Options under Company Settings > Global Setup > Company Setup, on the Payroll tab. These new settings allow users to display allocations on the Pay Statements. For additional details, please see the October 2017 Payroll Release Notes.

Quickbooks Enhancements

Listed below are the Quickbook enhancements added to the Payroll product.

QuickBooks Export

Numerous enhancements have been added to the QuickBooks System Data Export. The enhanced QuickBooks exports can be created by navigating to Company Settings > System Data Export > Available Data Export Types and selecting the QuickBooks (IIF) v1 Advanced export. The new options will reduce the number of manual updates required to QuickBooks exports prior to importing the file into QuickBooks.  Full details are included in the October 2017 Payroll Release Notes. 

QuickBooks System Data Export: Company EIN Tag

WFR-38489: In Multi-EIN companies, a new tag has been added so the Company EIN name can be used in the name of the export file.

QuickBooks System Data Export: Consolidation of Earnings, Tax Credits, ER Tax Debits, Deduction Credits and ER Deductions

WFR-38467: Using the options in the Export GL widget, lines in the export file can be consolidated by Earnings, Tax Credits, ER Tax Debits, Deduction Credits or ER Deductions. Additional options enable you to group accounts in the General Ledger by Cost Center (Location or Work Class in the example below), Job or Employee. If the grouping options are checked, the export will include one line for each of the designated groups.

QuickBooks System Data Export: Class For Invoice

WFR-38477: The optional Class For Invoice settings has been added to the Export GL widget. When this value is defined, it will be used to populate any Cost Center fields. Please see detailed release notes for more information. 

QuickBooks System Data Export: Adding Fields to Record Types

WFR-38648: The export is initialized with a set of commonly used fields, but includes options to add fields to any of the record types. Each record type that is sent to QuickBooks has a distinct set of fields, as required for QuickBooks. Record Types (Empl Check, Empl Check Offset, Vendor Check, Vendor Check Offset and GL) are shown at the top of the widget. To add a field to a record type, click on the record type, then click on the Add button. The Add (5) button creates five new fields at the same time. Once added, the fields can be defined by selecting the row and clicking the Edit button to define the field length, data type and the source of the data. Please see detailed release notes for more information. 

QuickBooks System Data Export: Combining Pay Period Start and End Dates

WFR-38493 – The Pay Period Start and End dates can now be combined in a single field.

QuickBooks System Data Export: QB Account # Field

WFR-38471: QuickBooks Account Numbers can now be configured under Company Settings > Payroll Setup > Bank Accounts > Bank Account.

QuickBooks System Data Export: Multi-EIN Companies

WFR-38501: For multi-EIN companies, the contents of the data export can be filtered according to EINs. Click the Run Data Export button, and use the EIN filter to select the EIN data to be included in the export.

QuickBooks System Data Export: Manual or Void Check Inclusion Options

WFR-39729: Options were added to control whether void or manual checks should be included in the export. The options are listed in the Export Empl Checks widget within the Extra Settings widget.

QuickBooks System Data Export: Employee and Vendor Filters

WFR-39733: Additional filtering options were added within the Extra Settings widget. Filters were added to limit the set of employees included in the export and the vendors included in the export. Clicking on the icons next the filters display pop-up dialogs that can be used to control which employee or vendor data is included in the export. Please see detailed release notes for more information. 

QuickBooks System Data Export: Payroll Filter Options

WFR-47810: A payroll filter option has been added to the Default Settings widget, enabling users to select one or more payrolls as filters for the exported data.

QuickBooks System Data Export: Debit and Credit Amounts

WFR-38508: Exports of GL Book Entry Amounts now output credit figures as negative and debit figures as positive, following the requirements for QuickBooks. Previously, some issues occurred when debits and credits used a Secondary code structure and used the same code for debits and credits, for example, to see debits and credits were combined in the same account.

QuickBooks System Data Export: Suppression of Redundant Data Exports in GL Records

WFR-38511: In order to suppress duplicate exports of redundant data in the Vendor Check, Vendor Check Offset and GL record types, three additional options have been added to the GL Override:

QuickBooks System Data Export: TRANSTYPE Column Header for Vendor Check Records

WFR-39786: The default transaction type column header for the Vendor Check record type has been changed to !TRANSTYPE. This change enables the inclusion of voided checks in the exported data, by automatically moving the void to a deposit against the original check. Without this change, any exports that included voided checks would result in errors upon import to QuickBooks.

New Security Option Added for Reserve Live Check Feature

WFR-8101: The Add New Reserve Live Check option is used in conjunction with direct deposit to allow the employee to reserve a set amount to be received as a live check in addition to their direct deposits. The security options for this feature have been updated to provide additional control over the display of Reserve Live Checks buttons. The Reserve Live Checks option is available on the HR and ESS tabs in the Security Items widget.

Payroll Admin Enhancements

The following Admin enhancements have been added to the Payroll product.

Quick Books Export: Secondary Date Filter Option (Admin)

WFR-38502: A secondary date filter is now available for QuickBooks under Maintenance > Exports > Data Exports. The new Invoice Finalized filter works in conjunction with the Invoice Date filter.

Intermediary Bank Functionality Added to Wire Transfers (Admin)

WFR-40611: Intermediate bank ABA/Account numbers can now be added to wire transfers for smaller banks and credit unions that do not have access to the Federal Reserve. Intermediary Banks can be configured at the client level in the Use Intermediary Bank widget under Company Settings > Payroll Setup > Bank Accounts. At the Admin level, under Maintenance > Configuration >  Banks Accounts > Originating Bank, the intermediary bank’s name and ABA or Account number can be specified for export in the wire transfer file.

Clients intending to use wire transfers need to contact Kronos Global Support.

 

Scheduler Enhancements

The following enhancements have been added to this release.

Constraints: Freeze Override Constraints Header

WFR-39380: The constraints row, containing the names of the constraints to override, within the Override Constraints window is now frozen when scrolling through the employee list so that it remains visible as users scroll. The Override Constraints window can be accessed under Scheduler > Schedules and Scheduler > Schedule Templates.

Imports: New Workload Template Available

WFR-42042: A new Workload Templates import template is available in the Scheduler category under Company Settings > Imports > Overview. This template will assist users in creating workload templates when large lists of data are required. The import template allows for all the basic fields contained in a workload template, as well as cost centers, skill, credentials, certifications, number of shifts and day type. 

Managed Scheduled Cost Centers: Schedules and Shifts for Assigned Scheduled Cost Centers

WFR-37406: When a manager is creating a Schedule, or Adding/Editing a Shift, the list of available Scheduled Cost Centers to choose from will now be limited to what is assigned to them within the Managed Scheduled Cost Centers widget on the Schedules tab of their profile under My Employees > Employee Information.

Mass Edit: Adding Skills and Scheduled Cost Centers

WFR-28519: Skills, Managed Scheduled Cost Centers, and Scheduled Cost Centers can now be added and/or edited using Mass Edit under My Employees > Employee Maintenance > Mass Edit. All three are now among the Available Windows to be included on the tabs using Edit Tabs within the Mass Edit feature.   

Reports: Schedule Managers Added to Scheduling Reports

WFR-41899: The Scheduled Managed By column is now available to be added to certain reports by using the Select Columns link in the reports. This column will display a list of schedule managers for scheduled shifts. The information included in the reports will also pull schedule managers from the Managed Scheduled Cost Centers widget.

WFR-37296: Scheduled Skill is now available for inclusion in the Schedule vs Actual report under Manage Time > Scheduling > Scheduled vs Actual using Select Columns. This column allows users to view what Skill the employee is scheduled for.

Reports: Additional Schedule Data Columns to Reports

WFR-14063: The following reports have been updated with additional scheduling data. These reports are used for companies who have both the TLM and Scheduler sub-systems. 

Detailed Hours under My Reports > Time & Labor > Time Allocation

Calculated Time By Calendar Day & Calculated Time By Calendar Day (Time Entries) under My Reports > Time & Labor > Calculated Time

Calculated Time By Work Day & Calculated Time By Work Day (Time Entries) under My Reports > Time & Labor > Calculated Time

Schedules: Time Off Constraint Violation Message

WFR-47891: When an employee is scheduled for a day in which they have approved time off, the constraint message will now be defaulted to Not available due to PTO day. If the user wishes to customize the message, they can do so by adding the Employee: Has Time Off constraint to the employee’s scheduler profile. The message previously defaulted to Not available for time frame and this new message will more accurately reflect why the violation is occurring.

Schedules: Sort by Employee Perspectives in Edit Shift Screen

WFR-44599: For companies using Employee Perspectives and Scheduler, employees can now be sorted by the Employee Perspective Band in the Sort Employee By drop-down of the Edit Shift screen. By default, the sort order is Ascending. Users can click the up or down arrow next to the Sort Employee By field to change sort order to Descending, if desired.

Schedule Templates: Remove Terminated Employees from Schedule Templates

WFR-41546: Terminated employees will now be removed from existing Schedule Templates, found under Scheduler > Schedule Templates, immediately after the Termination Date so that users do not have to create new templates each time an employee is terminated. Employees will be removed from the Schedule Template if:

The employee's Termination Date is before today’s date.

 

 

Cross Product Enhancements

The following enhancements have been added to this release.

NEW! A New System Theme is Available

A new system theme named Standard has been added to the system. This new theme provides a more current look and feel and will provide an easier transition when new platforms are introduced in the future, making the learning of new navigation patterns easier.

Legacy customers will have ability to switch from the classic theme, to the new one. This new system theme will become the implemented theme for all new direct customers.

The new theme has a new color palette, icons and layout, as well as an updated navigation structure. All functionality and data components remain in place; only the look has changed.

ACA: Ability to Add Dependent Form 1095-C for COBRA Reporting

WFR-40214 & 40216: Companies will now have the option to create a Form 1095-C for employee dependents who are considered non-employees and who, along with the employee, were enrolled in a self-insured healthcare plan.

NOTE: This option will only be available for companies who are COBRA self-insured and have checked the Enable COBRA reporting for self-insured health plan setting in the ACA Settings widget under Company Settings > Global Setup > Company Setup.

Additionally, the employee’s ACA Profile should contain the COBRA Reporting Terminated Employees rule.

Company Setup: Countries for Company Address

WFR-45643: Users are now able to select any Country for the Company Address under Company Settings > Global Setup > Company Setup, in the Company Address widget.

Employee Perspectives: Re-running of Points

WFR-45221: The employee perspectives engine will now allow for the re-running of employee point values under the Perspectives Category History report, located under My Reports > Employee Perspectives > Perspectives Category History.

When running the report for a specified time where points already exist, the re-run process will replace existing point values. The re-run process is the same as when the points were originally run. Point values that are imported will not be replaced during the re-run period. The re-run is done by clicking the Run Rules button.

Employee Perspectives: Sort by Employee Perspectives in Edit Shift Screen

WFR-44599: For companies using Employee Perspectives and Scheduler, employees can now be sorted by the Employee Perspective Band in the Sort Employee By drop-down of the Edit Shift screen. Security Profiles: Mailbox Permissions

WFR-45510: All security items related to Mailbox functionality have been moved from under the Reports section on the Reports tab under Company Settings > Profiles/Policies > Security. Mailbox items for Employee Self Service (ESS) are now displayed on the ESS tab in the Tools & Documents section.
Mailbox items for Manager/Admin accounts are now displayed on the Modules tab in the Mailbox section.

Two Factor Authentication: Login for TOTP Using Mobile Device Code

WFR-46070: ACTION REQUIRED: Users utilizing an Authenticator Application such as Google Authenticator to generate one-time codes for Login must now enter the one-time code on a separate screen, and the one-time code must not be included as part of the password. The Login will now be a two-step process.

Users will now first enter their username and password on the Login screen, and then click Login. For the second step, the one-time code should then be entered on the Verification screen, and Login selected.

Workflow: Warning for Workflow Items without Actions or Next Step Assigned

WFR-29925: The new warning messages below will now display within the Workflow settings under Company Settings > Global Setup > Workflows upon Save when no Actions are configured for a Workflow step or when a step, other than the End step, has no next step assigned:

1. The following step does not have actions: [Hyperlink for step name].

2. The following step does not have next step assigned: [Hyperlink for step name].

Additionally, the following warning message will display immediately inside the step of a Workflow: You must add a next step to the [Action Name] action.

REST APIs

This section contains information and enhancements for REST API webservices.

REST API Webservices: Responses to Unauthorized Request Updated

WFR-44948: Response messages to unauthorized API requests have been updated.

1. In response to a protected resource request without authentication, the message will be ‘Missing authentication’ (in cases where user did not specify token or token could not be parsed.)

2. In response to a protected resource request with an authentication attempt using an expired access token, the message will be: ‘The access token invalid.’

REST API Webservices: Delete Employee Contact

WFR-31698: Deletion of Employee Contacts now possible via REST API.

REST API Webservices: Cost Center External ID Search

WFR-44341: An optional query parameter, External_Id, has been added for use in the Cost Center API.

REST API Webservices: Create Mailbox Items

WFR-30810: Users can now Create, Post, and Get Mailbox items via REST API. As part of this change the V1 Mailbox APIs have been deprecated and replaced with V2, see the APi documentation for more information.

REST API Webservices: Employee Contract Items

WFR-43662: Users can now Post/Put/Delete Contract data items via REST API. The following elements have been added.

3. Days per pay period

4. Days per year

5. Working days 

REST API Webservices: Employee Perspective Profiles

WFR-36465: The Employees REST API has been updated. Companies can now use Get/Put options to populate employee accounts with Employee Perspectives profiles.Admin Enhancements

Admin Enhancements

The following Cross Product administrative enhancements have been added to this release.

Generator Services: Current Discount Report Columns Reconfigured (ADMIN)

WFR-45914: The Generator Services report under Maintenance > Companies > Client Resources > Admin > Invoice Generators/Services will now display Current Discount column data on one row, where previously when the Current Type Discount column was removed, the data was displayed on multiple rows.

Invoices: Employee EIN Column Added to Invoices Report (ADMIN)

WFR-44478: An Employee EIN column is available to be added to the Invoices report via the Select Columns link. The report is located under Company Settings > System > Invoices.

Billing: Minimums Added (ADMIN)

WFR-33596: Previously, within billing, a minimum and maximum could be set for a date range, but moving forward, a new Use Monthly Amounts along with Set Monthly Amounts has been added to allow for specific minimums and maximums to be entered for each month. This is in the Calculation widget under Maintenance > Companies > Client Resources > Admin > Invoice Generators/Services > Generator Services.
